SALON HUB AI – TERMS OF SERVICE

These Terms of Service (“Terms”) govern your access to and use of Salon Hub AI services. By purchasing, accessing, or using our services, you agree to be bound by these Terms.

1. About Us

Salon Hub AI (“we”, “us”, “our”) provides AI-powered automation, booking, messaging, and operational tools for salons and beauty businesses.

2. Scope of Services

Salon Hub AI provides AI-powered services including, but not limited to:

  • AI Voice Agent and telephony services

  • Smart Booking Assistant

  • Automated client messaging (confirmations, reminders, reminders, reviews)

  • Calendar and scheduling management

  • Revenue tracking and lead insights

  • Automated marketing and promotional workflows

  • Team and performance dashboards

  • Custom AI prompts, workflows, and third-party integrations

Services rely on both Salon Hub AI systems and third-party platforms.

3. Setup Fee (Non-Refundable)

A one-time setup fee is payable in advance before any work begins.

The setup fee covers:

  • Account creation and configuration

  • Phone number provisioning and telephony setup

  • Custom AI prompt design and agent configuration

  • Integration with calendars, booking tools, and messaging platforms

  • Test calls, simulations, and fine-tuning

  • Initial onboarding and configuration support

The setup fee relates to bespoke digital services that commence immediately upon payment.

14-Day Cancellation Waiver

In accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you expressly agree that:

  • You request Salon Hub AI to begin providing services immediately upon payment; and

  • Once service delivery has begun, you waive your statutory right to cancel within 14 days.

Accordingly, setup fees are non-refundable due to the immediate allocation of labour, time, and third-party costs.

4. Monthly Service Plan

Following setup, services are provided under a monthly service plan.

The monthly fee covers:

  • Ongoing access to the platform and AI systems

  • Hosting, infrastructure, and system monitoring

  • AI model usage within allocated allowances

  • Maintenance, optimisation, and support services

Monthly fees vary depending on business type, configuration complexity, and usage.
Unless stated otherwise, all prices are exclusive of VAT, which will be charged where applicable.

5. Contract Term & Cancellation

Salon Hub AI offers services under either a fixed-term agreement or a rolling monthly agreement, depending on the plan selected at checkout or agreed in writing.

5.1 Contract Options

a) Fixed-Term Agreement (12 Months)
Where you select a fixed-term plan:

  • The agreement runs for a minimum initial term of 12 months

  • Monthly fees are payable in monthly instalments for the duration of the fixed term

  • Early termination during the fixed term is not permitted unless otherwise agreed in writing

  • All remaining monthly fees for the fixed term remain payable even if services are no longer used

b) Rolling Monthly Agreement (30-Day Basis)
Where you select a rolling monthly plan:

  • The agreement operates on a 30-day rolling basis

  • Either party may terminate by providing 30 days’ written notice

  • Billing continues during the notice period

  • No refunds are provided for partial months or unused services

5.2 Pricing Structure

You acknowledge that:

  • Fixed-term agreements may be offered at a lower monthly rate

  • Rolling monthly agreements may be offered at a higher monthly rate to reflect increased flexibility

  • Pricing depends on business complexity, configuration, and usage

Exact pricing is confirmed prior to onboarding or at checkout.

5.3 Termination Process

All cancellation notices must be submitted in writing via email to support@salonhubai.com.

Salon Hub AI reserves the right to suspend or terminate services immediately in the event of non-payment or material breach of these Terms.

6. Usage Allowances & Overage Charges

Monthly plans include a defined AI Voice Agent minute allowance.

If usage exceeds the allowance:

  • Additional minutes are charged at £0.10 per minute

  • Usage is rounded up to the nearest whole minute

  • Overage charges are invoiced in arrears in the following billing cycle

These charges reflect telephony, AI compute, and third-party platform costs.

7. Client Responsibilities

You agree to:

  • Provide accurate and up-to-date business information

  • Notify us promptly of changes to availability, pricing, or policies

  • Obtain lawful consent from customers for automated calls and messages

  • Comply with UK GDPR and applicable laws

  • Use the services responsibly and lawfully

Salon Hub AI is not responsible for issues arising from incorrect information or delayed updates.

8. AI Limitations

AI systems are probabilistic and may occasionally produce inaccurate or unexpected outputs.

Salon Hub AI does not guarantee 100% accuracy, and AI outputs should not replace human judgment for critical business decisions.

9. Third-Party Platforms & Data Processing

Salon Hub AI integrates with third-party platforms including, but not limited to, telephony providers, AI model providers, automation tools, messaging platforms, calendar systems, and CRM software (“Third-Party Platforms”).

In delivering services:

  • Salon Hub AI acts as a data processor, processing personal data solely on your behalf and under your instructions

  • Certain data (including names, telephone numbers, appointment details, messages, and call records) may be stored or processed directly by Third-Party Platforms

You acknowledge and agree that:

  • Salon Hub AI does not control the infrastructure, storage, or security of Third-Party Platforms

  • Third-Party Platforms operate as independent processors or sub-processors

  • Salon Hub AI is not liable for data loss, corruption, unauthorised access, service outages, or breaches occurring within Third-Party Platforms

  • Responsibility for selecting suitable platforms rests with you as the data controller

Salon Hub AI shall not be liable for failures or interruptions beyond its reasonable control.

10. Intellectual Property

All systems, prompts, workflows, software, and documentation remain the intellectual property of Salon Hub AI.

You are granted a non-exclusive, non-transferable licence to use the services during an active subscription.

11. Limitation of Liability

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded under UK law.

Subject to this:

  • Salon Hub AI is not liable for loss of revenue, missed bookings, business interruption, reputational damage, or indirect losses

  • Liability arising from AI outputs or third-party platforms is excluded

Total liability is limited to fees paid in the three months preceding the claim.

12. Governing Law

These Terms are governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.

SALON HUB AI – PRIVACY POLICY

Salon Hub AI complies with the UK GDPR and the Data Protection Act 2018.

1. Data Roles

  • Salon Hub AI acts as Data Controller for client account and billing data

  • Salon Hub AI acts as Data Processor for salon customer data

2. Data We Process

Business data:
Name, email address, phone number, business details, billing information, communications.

Customer data (processed on your behalf):
Names, contact details, appointment information, messages, and call data (where enabled).

3. Lawful Basis

Processing is based on:

  • Contractual necessity

  • Legitimate interests

  • Consent (where applicable)

  • Legal obligations

4. Data Sharing

Data is shared only with essential third-party service providers required to deliver the service.
Salon Hub AI does not sell personal data.

5. Data Retention

  • Active accounts: retained for service delivery

  • Cancelled accounts: deleted within 30–90 days, unless legally required

6. Your Rights

You have rights to access, rectify, erase, restrict processing, object, and request data portability.
